Volunteer Policy

Policy: 

Beginning in machine pitch division, families are required to complete two volunteer shifts per season. All families will pay a $200 volunteer fee per family. The fee will be refunded upon completion of two volunteer shifts. Families may choose to opt of volunteering for the year when completing registration and the volunteer fee will not be refunded. 

Role-Based Refund 

Policy

This proposal outlines the refund structure for volunteer deposits and incentives across key roles within the organization. It ensures fairness, transparency, coverage of organizational needs, and recognition of contributions while maintaining accountability for responsibilities and equipment.

Note that the roles are not accumulative or stacking: a volunteer only receives the role-based refund for a single role they fulfill. For example, a coach who is also a board member will only qualify for the board member role-based refunds and not have the coach role-based refund applied. 

Board Members

This applies to Board members with youth in the program. Board members without youth in the program do not have any additional incentive outside this structure. 

Full volunteer refund will be provided, plus a board member receives a single waived registration fee for one of their players - for members with multiple players in the league, the highest fee will be waived for a single child. Board members will pay the cost of registration for all other children.

 

Head Coaches

Full volunteer refund will be provided, plus an extra $50 of registration ($250 total refund) will be issued upon return of the coaches bag. The $50 registration refund is to recognize time and effort.

Assistant Coaches

Full volunteer refund will be provided plus an extra $25 ($200 total refund) once the Head Coach returns the equipment bag. The $25 registration refund fee is to recognize time and effort.

Team Managers

The team manager is primarily responsible for coordinating the day of baseball (DOB) silent auction basket. This can be through soliciting community donations or collecting money from team parents and either creating a basket or donating team funds to volunteer coordinator. Full volunteer refund will be provided when either the DOB Basket or team funds are turned in. If no DOB basket is provided, this volunteer will need to find other volunteer opportunities

Game Changer

The role of this volunteer is to manage the digital score book in the game changer app during at least 80% of games . Full volunteer refund will be provided when final scores for the season are entered by coaches in SportsConnect.  

Family Volunteer

Families will receive their full volunteer refund upon completion of two volunteer shifts. See volunteer shifts for opportunities. If you are interested in participating in a BALL Board Committee, please reach out to Maria Trueblood ([email protected]).

During registration, a family can choose to opt out of volunteering by selecting that option and not receive the $200 fee back at the end of the season.

This policy promotes shared responsibility and equitable treatment across all roles, while providing clear incentives for fulfilling volunteer duties. It supports the smooth operation of our programs and encourages active participation from all members of the community which is critical to our success as an organization.
